How to pay for your Pachca subscription: payment methods, invoices for businesses and automatic renewal

Three ways to pay for Pachca

  • By card. Your subscription is charged automatically every month.
  • By invoice. The main payment option. You can pay for periods of 3 months or longer.
  • By QR code. An extra option for when you can't renew your subscription by card or invoice.

Whichever method you use, the workspace administrators and Owner see a warning in Pachca when a payment is coming up.

How to pay

You can pay for Pachca right in the app:

  • Click the workspace name in the top-left corner and go to Workspace settings → the Subscription tab at the top
  • Choose a plan. Learn more about plans here
  • Choose how you want to pay: by card or by invoice

If you pay by card, you go to the payment page. The price is based on the number of members in your workspace. Once you enter your details, the card is linked to the workspace and payments are charged automatically every month.

If you pay by invoice, enter your ИНН and the other required details. Our support team will contact you to confirm the details and send the invoice by email or through ЭДО once it's ready.

Canceling a subscription and refunds

You can cancel your subscription at any time and keep using all the features of your plan until the end of the paid period. After that, your plan changes to Starter. We don't refund unused months.

A refund is only possible if you pay for Pachca by bank card and forgot to cancel your subscription. To request one, contact support within 3 business days of the charge.

How to switch plans

Contact our support team. The switch is seamless: your messages, integrations, bots and user settings are all kept.

Upgrades take effect as soon as you request them:

  • The extra payment is prorated for the time left in the current period
  • Features of the higher plan become available after payment
  • The invoice is issued right away, but the extra payment may be postponed if the next billing period is close

Downgrades are processed as soon as you request them:

  • Features of the higher plan stay available until the end of the paid period
  • The changes take effect at the end of the period you've already paid for

Extra licenses and storage

Over time, you may need more workspace members than you originally paid for. If you pay for Pachca by invoice, contact us and ask for an invoice for extra licenses. If you pay by card, the charge is recalculated automatically based on the number of members in your workspace, and you don't need to do anything.

If you add more licenses than you've paid for, we'll email you to let you know you need to pay for them.

The same goes for storage. We'll warn you in advance when you're about to exceed your storage limit and issue an extra invoice for several months or a year.

What happens if I exceed the number of licenses I paid for?

You can add more users to your workspace at any time. What happens next depends on how you pay.

If you pay by card, next month you're automatically charged for the actual number of users.

  • If you paid for 100 licenses by card but actually have 150 active users and invited another 50, next month your card is charged for 200 licenses (active and invited).
  • If you linked a card when you were the only person in the workspace, you're charged for 1 user. If you add other members after paying, we'll contact you and send a QR code to pay for the overage.

If you pay by invoice or QR code, a balance due builds up for every employee above your paid limit. The workspace Owner gets a breakdown by email once a week on the Company plan or once a month on the Corporation plan, based on user activity.

  • If you paid an annual invoice for 100 users and added another 100 six months later, a balance for the extra users starts building up from that point. Once it goes over 2,000 ₽, request an invoice to pay the balance and extend these licenses until the end of the paid year.

What happens if I have fewer users?

Example 1: if you paid for 100 licenses by card and fewer users were active during the month, we can't refund the difference. Under Section 15 of our Terms of Service, unused licenses aren't refundable.

Example 2: if you paid an annual invoice for 100 users on the Company plan and later you only have 50, we can't refund the difference. Under Sections 2 and 9 of our Terms of Service, unused licenses aren't refundable.

Example 3: if you paid an annual invoice for 1,000 users on the Corporation plan and only 500 are actually active, we'll credit the cost of the inactive users' licenses as points. 1 point = 1 ruble. You can use them to pay future invoices.

Activity-based billing

The Corporation plan lets you pay only for active seats. A user counts as inactive if they haven't opened the app for 14 days or more, or if an administrator has revoked their access.

If a user becomes inactive in the middle of a billing period, the money paid for their inactive days comes back as points you can use toward your next payment.

If a user was automatically marked inactive and then does anything in the app, they automatically count as active again. You'll need to pay for the days left until your next payment date. The same applies to users whose access was restricted by an administrator.

Paying only for active seats can save you a lot, up to 20% a month. That's a real result from our customers. It also lets you track member activity and see how engaged your team is in your team chat app.

Discounts

Pay by invoice for a year and get a 20% discount.

Educational organizations and nonprofits can get a 75% discount when paying by invoice for 3 months or longer.

How is the price calculated?

The price of a license depends on your plan and whether you qualify for a discount.

1 license = 1 user (a member of your workspace).

1 license is valid for 1 month from the date of payment. Under our Terms of Service, payments aren't refundable.

Example: if your company has 10 people, you need to buy 10 licenses for the period you want. Monthly payments are made by card, and for 3 months or longer we issue invoices.
