An add-in to create Pachca call invitations from your Outlook calendar
To set up the add-in, you'll need a Pachca account and a corporate Exchange mailbox. Your mail system administrator installs the add-in for employees. Their devices must be able to access https://app.pachca.com.
The installation method depends on where your mailboxes are hosted:
- Microsoft Exchange Server — on your organization's server. Install the add-in through the Exchange admin center.
- Exchange Online in Microsoft 365 — in Microsoft's cloud. Install the add-in through the Microsoft 365 admin center.
Both methods use the same Pachca manifest. This file contains the add-in settings and needs to be added to your mail system.
Install the add-in in Microsoft Exchange Server
💡 An Exchange administrator performs these steps. Menu names may vary depending on your server version and interface language.
- Open the Exchange admin center with an administrator account
- Go to Organization → Add-ins
- Select +, then Add from URL
- Enter the manifest URL:
https://app.pachca.com/add-in/outlook/manifest.xml - Select Install
- If the server can't download the manifest from the URL, download the file from the same address, select Add from file, and select Install again
- Select Встречи Pachca in the list and open its settings
-
Select Make this add-in available to users in your organization
-
Choose an availability option:
- Optional, enabled by default — the add-in is enabled by default, and employees can disable it
- Optional, disabled by default — employees enable the add-in themselves before using it
- Mandatory, always enabled — the add-in is always enabled, and employees can't disable it
💡 We recommend Mandatory, always enabled.
-
Select Save
Install the add-in in Microsoft 365
💡 A Microsoft 365 administrator with permission to deploy add-ins performs these steps.
- Open the Microsoft 365 admin center
- Go to Settings → Integrated apps
- Open the Add-ins link and select Deploy Add-in
- Choose to upload a custom add-in
- Enter the manifest URL
https://app.pachca.com/add-in/outlook/manifest.xmlor upload the XML file downloaded from that URL - Choose who can use the add-in: just yourself for testing, specific users and groups, or everyone
- Confirm deployment and wait for it to finish
These steps use the add-in portal described in Microsoft's instructions. Your organization's page may look different.
💡 According to Microsoft, add-ins can take 24–72 hours to appear on the Outlook ribbon after centralized deployment. You may also need to restart Outlook.
Enable the add-in in Outlook
💡 This section applies only if your administrator selected Optional, disabled by default. Each employee then enables the add-in for their own mailbox. If your administrator enabled the add-in by default or made it mandatory, skip this section and schedule a call from your Outlook calendar.
- Open Outlook on the web with your own account
- Select the gear icon in the top-right corner, then Manage add-ins
- Under General → Manage add-ins, find the Pachca add-in. In the screenshot, it's called Встречи Pachca
- Select its checkbox in the Enabled column. If it's already selected, no change is needed
- Return to your calendar and open a new event
Schedule a Pachca call from your Outlook calendar
- Open your Outlook calendar and create an event
- Enter the title, date, and time, and add attendees
- On the event toolbar, select the Pachca icon, then Встреча Pachca, as shown in the screenshot
- If the add-in asks you to sign in, sign in to your Pachca account
- In the panel, choose which call to add:
- In a thread — a call without a linked chat
- In a chat — a call in a selected chat. Find the chat in the list or use search
- Select Insert link
- Check that the link appears in the event description and location field
- Save the event or send invitations using Outlook
Attendees can join the call using the link in the calendar event.
An integration to create Pachca call invitations from the messenger and display them in Outlook calendars
The integration is available on the Corporation plan. A workspace admin connects it once, and it works for everyone in the workspace.
To connect it, you'll need:
- the EWS server address, which usually ends with /EWS/Exchange.asmx;
- the login and password of a service account with access to employees' calendars.
Connect the integration in Pachca
- Click the workspace name in the top-left corner and select Workspace settings
- Open the Microsoft Exchange section
- Click Connect Exchange
- Enter the EWS URL, plus the service account login and password
- Click Connect
Click the workspace name in the top-left corner.
Once connected, the section shows the server address and the service account. The Impersonation toggle lets the service account create events on behalf of employees. For this, the account needs the ApplicationImpersonation role on the server.
To change the server or the account, click Edit connection. Disconnect Exchange turns the integration off: new meetings and reminders will no longer be added to calendars, and events that were already created will stay.
Schedule a meeting from Pachca that appears in Outlook
- Open the chat where you want to set up the meeting
- Click the Reminders button with the purple check mark in the top-right corner of the chat
- Click New reminder
- Under Reminder type, select Meeting (the map pin icon)
- Fill in the description and the due date
- Under Assignees, add the people you want to invite
- Click Create reminder

Sure, I'll set up a meeting so it lands in our calendars.
Click the "Reminders" button with the purple check mark in the chat header.
That's it. The meeting will appear in the attendees' calendars, and they'll get an invitation by email:
